In 2024, two of the vendors I'd ordered from for Super Bowl bailed on game day. One of them called at 11am to say they weren't opening. The other never confirmed the order and stopped answering their phone by noon. This is the story of what happened next, and the backup planning that should have already been in place.
The Vendors That Cancelled
Mad for Chicken
Ordered 30 signature half-and-half wings. Called the morning of to confirm. No answer. Called at 1pm. Still no answer. Assumed cancelled. Later found out the store was closed for a private event they hadn't put on their site.
Tony's Jamaican Market
Called at 11am to say they were "overwhelmed" and couldn't fill the wing order. This was for jerk wings, which had been the flagship discovery item for the year's spread. No refund offered, no alternative suggested.
The Emergency Pivot
By 2pm we were 60 wings short with kickoff in four hours. The recovery:
- Pizza + sandwiches from Angelina's. Called the local pizzeria, ordered two Sicilian pies, one grandma pie, and four sandwiches (grilled chicken with sauteed broccoli rabe & fresh mozzarella hero, chicken cutlet parm, grilled chicken). This replaced the wing calories dollar-for-dollar and Angelina's has never missed an order in six years.
- Buffalo Wild Wings GO order upgrade. Original BWW order was 30 traditional wings across six sauces. We upgraded to add 20 more mixed-sauce wings to close the gap. BWW GO's online ordering had a 90-minute pickup window that fit the timing perfectly.
- Skipped the "discovery" slot entirely. Instead of scrambling for a replacement local vendor, we accepted that this year's spread would be chain-heavy and moved on. A crowded party doesn't notice the missing discovery item; a scrambling host does.
What I Should Have Had in Place
A Second Local Vendor Confirmed Two Days Prior
The single point of failure was ordering discovery wings from spots that don't have a strong track record confirming orders. Any vendor smaller than a chain should be called and texted 48 hours out, then confirmed again the morning of. If you can't get a two-way confirmation, they're not confirmed.
A Backup Vendor Pre-Identified
The backup should not be "we'll figure it out." It should be a specific vendor with a specific menu item you've eaten before, at a location within 15 minutes' driving distance, who takes takeout orders on Sunday. Have the phone number saved in your phone. Have their pickup timing memorised.
A Cushion in the Sauce Split
The 40/30/20/10 sauce distribution assumes you have four flavour buckets to fill. If one bucket disappears, don't leave it empty — redistribute. 2024 lost the jerk (the wildcard 10% slot). We converted it to more classic buffalo, which was fine because classic buffalo is the safest fallback for a wing party.
Pizza as a Universal Backup
Pizza is not a wing. But at a wing party where wings run short, pizza is the only backup that can be ordered on Super Bowl afternoon and still arrive hot in an hour. Every wing party plan should have a pizza-shop backup identified before you need it.
The Framework
- Every vendor confirmed twice. Once at order time, once 48h out.
- Backup vendor identified. Name, phone, menu item, pickup window — all saved.
- Sauce split has redistribution rules. If a vendor drops, you know where the volume shifts.
- Pizza-shop backup on standby. A local place that hasn't missed a Super Bowl order in years.
- Time buffer built in. Order for 90 minutes before kickoff, not 15. When something goes wrong, you have time to recover.
Your Super Bowl party is a supply chain. Treat it like one.
